Terms of Service

The terms you're agreeing to when you use Expnsr.io. We've kept them as short and plain as we can.

1. Who we are

Expnsr.io is operated by Expnsr Ltd, a company registered in England and Wales (Companies House number 17180340) ("we", "us", "our"). Contact: hello@expnsr.io.

2. Accepting these terms

By signing up for or using Expnsr.io you agree to these terms. If you're signing up on behalf of a company, you confirm you have authority to bind that company to these terms. If you don't agree with any part, don't use the service.

3. What Expnsr.io is

Expnsr.io is a web-based expense management service that lets teams submit, approve and track business expenses. It uses AI to help extract and categorise receipt data. We may add, change or remove features from time to time.

4. Accounts

• You must provide accurate information when signing up.
• You're responsible for keeping your password secure. Don't share it.
• You're responsible for anything that happens under your account.
• Tell us straight away if you think someone else has gained access: hello@expnsr.io.
• One account per person. Multiple people sharing one login is not allowed.

5. Plans, pricing and payment

Free plan

The Free plan is available for companies with up to 4 users. It's free forever for eligible companies, with no credit card required.

Paid plans

Paid plans (Starter, Growth) are billed monthly or annually by Stripe. Prices shown on our pricing page at the time you subscribe are the prices you pay. We may change prices in future — we'll give you at least 30 days' notice before any price change affects you.

Billing

• Paid plans auto-renew unless you cancel before the next renewal date.
• VAT is added where applicable.
• Payments are processed by Stripe. We don't see or store your full card number.
• Failed payments: if a charge fails, we'll retry and notify you. If payment remains unresolved for 30 days, non-admin users lose access to the service. Admins retain access to resolve billing.

Refunds

We offer a 14-day refund on your first paid subscription if you're not satisfied. After that, we don't refund partial periods, but you can cancel anytime and keep access until the end of your current billing period.

6. Acceptable use

You agree not to:

• Use Expnsr.io to submit false, fraudulent or misleading expense claims
• Upload malicious files, viruses or anything designed to harm the service or other users
• Attempt to access parts of the service you're not authorised to access
• Reverse-engineer, decompile or attempt to extract source code
• Resell or sublicense the service without our written permission
• Use the service to break any applicable law
• Upload content that infringes on anyone else's rights (copyright, trademark, privacy, etc.)
• Use automated systems to scrape or extract data from the service beyond what's available through our official features

We can suspend or terminate accounts that break these rules without notice or refund.

7. Your data

You own your data. We never claim ownership of the receipts, expense information, or other data you upload.

You grant us a limited licence to use your data only to provide the service to you — this includes processing receipts through AI, storing them securely, and making them available to people in your company who are authorised to see them.

8. AI-generated output

Expnsr.io uses AI to read receipts, categorise expenses, and flag potential concerns. AI output is provided as a tool to help your team, not as a substitute for human judgement.

• We can't guarantee AI output is always accurate. Always review extracted data before submitting or approving.
• Concern flags and mismatch detection are assistive signals for finance review, not authoritative verdicts.
• You remain responsible for the accuracy of expense claims and approvals your team makes.

9. Service availability

We aim for high availability but don't guarantee uninterrupted service. We may take the service offline for maintenance, updates, or because of circumstances beyond our control. We'll give notice where we reasonably can.

10. Cancelling and closing accounts

• You can cancel a paid plan anytime from the app. Cancellation takes effect at the end of the current billing period.
• You can close your account at any time by emailing hello@expnsr.io.
• We can close accounts for breach of these terms, non-payment, or if we stop offering the service.
• After closure, your data is deleted within 30 days, except where we're legally required to retain it (e.g. HMRC records).

11. Liability

We try our best to run a reliable service but:

• The service is provided "as is" without warranties of any kind beyond what the law requires.
• We're not liable for any loss of profit, revenue, business, goodwill, savings or data arising from your use of the service.
• We're not liable for consequential, indirect, special or incidental damages.
• Our total aggregate liability in any 12-month period is limited to the fees you paid us during that period, or £100 if you haven't paid anything.
• Nothing in these terms limits our liability for death or personal injury caused by our negligence, fraud, or anything else that cannot be limited under UK law.

12. Indemnity

You agree to indemnify us against any claims, damages and costs arising from your breach of these terms, your misuse of the service, or content you upload that infringes on someone else's rights.

13. Changes to these terms

We may update these terms from time to time. If changes are significant, we'll email you at least 30 days before the new terms take effect. Continuing to use the service after changes take effect means you accept them. If you don't accept them, you can cancel and close your account.

14. Governing law

These terms are governed by the laws of England and Wales. Any disputes that can't be resolved amicably will be dealt with by the courts of England and Wales, unless you're a consumer in which case local law may give you additional rights.

15. Miscellaneous

• If any part of these terms is found unenforceable, the rest still applies.
• We may assign these terms (for example, if the business is acquired). You may not assign yours without our consent.
• These terms, together with our Privacy Policy, are the complete agreement between us about your use of Expnsr.io.
• Our not enforcing a right doesn't mean we've waived it.
